Scope: These required protocols apply to anyone on an ISI campus, including but not limited to all students, staff, faculty, contractors, vendors, suppliers, and visitors.

Policy Statement: Under normal circumstances, International School of Indiana welcomes visitors to our campuses for a variety of events and activities. We recognize that these in-person events and activities are important to our school community; however, the COVID-19 pandemic has dramatically changed how we must operate to prevent the spread of this disease within our school community. To this end, restrictions remain in place as outlined in this policy until further notice, for visitors, meetings, and events.

Reason for Policy:

1. Provides guidance on how policies related to public health and safety measures will be implemented until International School of Indiana is able to return to normal operation in accordance with all public health and governmental orders. 

2. Though increasing numbers of individuals in the United States are receiving Covid-19 vaccines, a high rate of coronavirus transmission persists and there are a number of students in our school community who remain ineligible to receive the vaccination. It is our collective responsibility to care for the members of our community by adhering to the following policies and procedures.

Procedures: 

FOR ALL VISITORS

  • All visitors must adhere to the school’s COVID-19 health and safety protocols including but not limited to wearing a face mask in designated areas and maintaining appropriate social distancing. 
  • Visitors may be required to participate in a health screening before being granted access to a facility.
  • Visitors during the school day are by appointment or invitation only, including all vendors and partners.
  • Visitors are permitted to drop off and pick up items during the school day, and should coordinate those activities with front desk personnel.
  • No visitors are permitted to visit or accompany students into our facilities, unless otherwise specified in our policies.
  • Any pick-up or drop-off of students outside of standard arrival and departure times should follow the COVID-19 Arrival and Dismissal Procedures. 
  • Visitor access in facilities will be limited to authorized areas only, as specified by event or meeting organizers, or outlined in this policy.

GENERAL GUIDELINES FOR ON-CAMPUS MEETINGS

  • All meeting participants must adhere to the school’s COVID-19 policies and procedures, including but not limited to the Face Masks and Personal Protective Equipment (PPE), Health and Safety Measures, and Health Screening policies and procedures.
  • In-person, on-campus meetings involving visitors must be pre-approved by a member of the Senior Leadership Team.
  • Administrative meetings are recommended by Zoom but allowed in person by appointment only, if preferred.
  • Meetings of faculty and staff are permitted in-person so long as they adhere to social distancing best practices and all COVID-19 Health and Safety Protocols. 
  • Meetings between parents and ISI faculty and staff are encouraged to take place virtually or via phone, but are permitted in person by appointment only.

GENERAL GUIDELINES FOR EVENTS AND ACTIVITIES

Off-campus events

  • Off-campus events, including field trips, are permitted so long as:
    • approved by a member of the senior leadership team;
    • limited to a day trip;
    • and the venue’s policies, procedures, and conditions align with the school’s COVID-19 policies, procedures, and standards. 
  • Exchange trips and overnight trips remain suspended until further notice. 

On-campus events

On-campus events involving visitors include but are not limited to events sponsored by the school, departments or units, as well as student and parent groups. These events will be permitted so long as:

  • Approved by the senior leadership team
  • The event is more effective or efficient in-person versus virtually
  • Preference is given to locations that minimize risks to students 
  • Event is controlled by an invitation or ticketing process that ensures appropriate size and safety protocols will be in place

All 2021-2022 approved on-campus events will be reflected on the ISI Community Calendar. Any new event will require registration by completing the Calendar Request form to ensure that the event is reviewed and approved by the ISI senior leadership team.

GUIDELINES FOR THE LOWER SCHOOL 

As many Lower School students remain ineligible to receive the vaccination more stringent requirements remain in place for the Lower School facility.

  • Should adhere to all General Guidelines.
  • Visitors are permitted daily during designated pick-up and drop-off periods in accordance with the Drop-Off and Pick-up Policy.
  • Childcare and Enrichment personnel are permitted daily before and after school so long as they are approved providers appropriately registered with the Lower School Principal.
  • Formal parent/teacher conferences (as reflected on the ISI calendar) are to be held virtually to limit the number of visitors in the building on a single day.
  • Visits permitted by appointment in the Lower School include:
    • Guest speakers - approved in advance by the administration
    • Parents for meetings - scheduled and approved by the Principal in advance
  • Assemblies and end-of-unit celebrations will be permitted with visitors in attendance.
    • Virtual viewing options will be made available to those unable to attend in person or who prefer to participate remotely.
  • Non-essential meetings involving visitors should be hosted via Zoom during school hours to limit risks to students in the Lower School facility.
  • Though birthday treats are permitted, visitors are not permitted for birthday celebrations.
  • No visitors are permitted in the cafeteria during meal service.
  • Parent volunteers are not permitted in classrooms during the school day, unless pre-approved by the Lower School Principal to aid in an academic unit.

GUIDELINES FOR THE UPPER SCHOOL  

  • Should adhere to all General Guidelines.
  • Formal parent/teacher conferences (as reflected on the ISI calendar) are to be held virtually to limit the number of visitors in the building on a single day.
  • Visits permitted by appointment in the Upper School include:
    • Guest speakers - approved in advance by administration
    • Parents for meetings - scheduled and approved by Principal in advance
  • Assemblies and end-of-unit celebrations will be permitted with visitors in attendance.
    • Virtual viewing options will be made available to those unable to attend in person or who prefer to participate remotely.
  • Non-essential meetings involving visitors should be hosted via Zoom during school hours to limit risks to students in the Upper School facilities.

GUIDELINES FOR ATHLETICS

  • Athletic events involving spectators are permitted but may be modified to control the number of spectators and in some venues may opt to utilize remote technology as an alternative way for spectators to participate in the event.All Athletics spectators are expected to adhere to the COVID-19 Health and Safety Protocols, including wearing a mask and practicing social distancing when interacting with other spectators, coaches, and athletes.
  • For events hosted by ISI, spectators will be permitted to attend.
  • Facility Access for Athletic Spectators remains restricted.
    • For outdoor events, spectators are not permitted to enter any ISI facility.
    • For outdoor events, spectators may use portable bathrooms adjacent to the track and field. Spectators are asked to bring their seating and to refrain from using bleachers, as those are reserved for athletes.
    • Spectators are asked to follow directions provided by the venue operator for all indoor events.
  • For all athletic events hosted by ISI, the athletic director has the authority to ask spectators to leave if they are unable or unwilling to adhere to these policies and procedures. 
  • Off-Campus Venues
    • ISI has no jurisdiction over venues operated by other schools or businesses; however, interscholastic athletic competition and COVID protocols at those venues should be in adherence with IHSAA guidelines and local health departments or ISI may decline to participate.

GUIDELINES FOR ADMISSIONS VISITORS

  • Should adhere to all General Guidelines.
  • Information Sessions are preferred virtually during school hours.
  • In-person tours are permitted during or after school hours with limited capacity. 
    • Capacity is determined based on building specifications and Principal approval.
  • In-person open houses are permitted with approval of the Senior Leadership Team.
  • Pre-entry and shadow visits are permitted as follows:
    • Lower School pre-entry visit participants will continue to be evaluated with other prospective students in-person, but will not have contact with current students.
    • Lower School shadow students permitted on a case-by-case basis
    • Upper School shadow students permitted in-person with proof of full vaccination.
    • All other shadow visits take place virtually as technology allows.

BEFORE OR AFTER SCHOOL PROGRAMMING 

FACILITIES USE AND RENTALS

  • Use of facilities by outside groups or organizations is permitted after school hours, on weekends, and during breaks when facilities or grounds are not in use by faculty, students, and coaches.
  • The timing and duration of any approved rental must allow for adequate time to administer cleaning procedures before the start of the next school and/or work day.  

Failure to comply with COVID-19 campus visitors, meetings, and events protocols may result in disciplinary action through existing disciplinary processes. Human resources will assist supervisors with addressing employee violations, principals will provide guidance on addressing student violations, and all other violations are referred to the Head of School’s office.
